Calendar & Events Coordinator
The position of Calendar & Events Coordinator will manage and maintain the church calendar, making sure that for every event that takes place on church property the participants have what is needed to properly facilitate the event.
Primary Responsibilities:
- ACS calendar software – Input or approve for input requests for facility use into the software. Run reports on the software. Communicate with requesting parties when events have been approved or rejected.
- Calendar Liaison – As primary contact for all calendar related questions this position will have a great deal of contact with church member and outside groups. This person needs to be well versed with the calendar so that they can present a good hospitable representation of the church and make the process as simple as possible for the applicants.
- Work with volunteers and paid staff to make sure that each event is adequately supported.
- Help train volunteers in the use of equipment necessary to support events.
- HVAC computer – Learn and maintain the computer for the HVAC system adjusting the weekly schedules for occupied and unoccupied times for maximum energy efficiency.
- Work with media and communications committee in identifying, recruiting and training volunteers to cover events that occur during non-office hours.
Tasks Related to the Responsibilities Above:
- Work closely with the maintenance staff of the church and to be aware how scheduling of events can impact them.
- Conduct a weekly calendar meeting with those who are most directly impacted by event scheduling such as the Food Service Director and the Nursery Coordinator.
- Alert the Business Administrator when there are breakdowns or major malfunctions of equipment.
- Provide directional signage for outside groups who are not familiar with the facilities such as funerals or regional events.
- Remember that for some groups this is there first contact with the church so a hospitable personality is a must at all times when dealing with the public.
Competencies: This position requires someone who has great attention to detail and the ability to follow through. The position also requires good written and oral communication skills. The person serving in this role needs to be aware that they are representing the church and often times are the first contact someone has with the church. Tact is required.
